1. Who we are

Emz Fitness provides personal training, Best Buddy training, Accessibility PT, online coaching, personalised programmes and group fitness services.

Emz Fitness is responsible for personal information processed in connection with these services and this website. You can contact Emily through the Contact page.

2. Information we may collect

Depending on how you use Emz Fitness, information collected may include your name, contact details, enquiry information, booking details, services purchased, appointment history, payment information, training goals, relevant health or injury information, fitness information and information generated when you use this website.

3. How information is collected

Information may be provided directly by you when you send an enquiry, make a booking, complete a form, purchase a service, complete health screening, communicate with Emily or take part in coaching. Some technical information may also be generated when you use the website.

4. Why we use your information

Personal information may be used to respond to enquiries, arrange consultations, manage bookings, provide training and coaching, communicate about your service, process payments, maintain appropriate business records and help operate and protect the website.

Information will not be used for an unrelated purpose without an appropriate legal basis or, where required, additional information or permission being provided to you.

5. Our lawful bases

Providing services: Information needed to arrange and provide training or coaching may be processed because it is necessary to take steps at your request before entering into a contract or to perform a contract with you.

Business administration: Some information may be processed for legitimate interests such as responding to general enquiries, managing the business, improving services and keeping the website secure, where those interests are not overridden by your rights.

Legal requirements: Information may also be processed where necessary to meet legal, tax, accounting or other regulatory obligations.

6. Health and fitness information

Information about your health can be special category personal data and receives additional protection under data protection law.

Emily may ask for relevant health, injury or medical information where it is reasonably necessary to understand whether training needs to be adapted or whether there may be safety considerations.

Where Emz Fitness relies on explicit consent to process health information, you will be asked to provide that consent clearly. You can withdraw consent, although this may mean Emily cannot safely provide certain services where the information is genuinely necessary for your training.

7. Booking and contact systems

The website uses services including Amelia for online booking and Fluent Forms for website enquiries. Information entered into these tools may be processed by the relevant service provider in order to provide the requested feature.

8. Payments

Where online payments are available, payment information may be handled by a payment provider. Emz Fitness may receive information confirming the payment, transaction or service purchased without necessarily receiving or storing your complete payment card details.

9. Who information may be shared with

Emz Fitness does not sell your personal information.

Information may be shared where necessary with service providers that support the business, such as website hosting, booking systems, form providers, payment processors, email or communications services, accountants, professional advisers and insurers. Information may also be disclosed where required by law or where necessary to establish, exercise or defend legal rights.

10. International processing

Some technology providers may process or store information outside the UK. Where international transfers take place, Emz Fitness will use providers and arrangements that provide appropriate protection where this is required by data protection law.

11. How long information is kept

Personal information is not intended to be kept indefinitely. The appropriate period depends on why the information was collected and whether it is still needed.

General enquiry information may normally be retained for up to 12 months where no ongoing client relationship develops.

Client, transaction and business records may be retained for longer where reasonably necessary for contractual, accounting, insurance, dispute or legal purposes. Health information should only be retained for as long as there is an appropriate reason to keep it.

12. Keeping information secure

Emz Fitness aims to use appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. No online system can be guaranteed to be completely secure, so reasonable care is taken when selecting and using services that handle personal information.

13. Cookies and website information

The website may use cookies and similar technologies for website functionality and other purposes. More information about these technologies and the choices available to you can be found in the Emz Fitness Cookie Policy.

14. Marketing

If Emz Fitness sends direct marketing, it will only do so where there is an appropriate legal basis and any additional consent required by electronic marketing rules has been obtained. You can ask to stop receiving direct marketing at any time.

15. Your data protection rights

Depending on the circumstances and the lawful basis being used, you may have rights relating to your personal information. These can include asking for access to your information, correcting inaccurate information, requesting deletion or restriction, objecting to certain processing and requesting transfer of information in some circumstances.

Where processing relies on consent, you can also withdraw that consent. Not every right applies in every situation and legal exceptions may sometimes apply.

16. Complaints about personal information

If you have concerns about how Emz Fitness has handled your personal information, please contact Emily first so that the issue can be looked into.

You also have the right to raise a concern or complaint with the Information Commissioner’s Office, the UK regulator responsible for data protection.

17. Changes to this policy

This Privacy Policy may be updated as the website, services or data processing arrangements change. The latest version will be published on this page with an updated date where appropriate.

18. Contact

For privacy questions, requests relating to your personal information or concerns about how your data has been handled, please contact Emily through the Emz Fitness Contact page.
